The Working Plan of the Audit Commission 2016/17

Dear Network,

The Audit Commission of AEGEE Europe, which started its term on October 16th, 2016,  proudly announces you the 2016/17 Working Plan, from Autumn Agora Chișinău till Autumn Agora Catania 2017, as the Audit and its Subcommissioners decided together during their third online meeting happened on December 21st, 2016 and approve the following points listed in the following pages.

What you will see and read, are initiatives, ideas and changes we are going to work on, with an aim to develop the Network and help the locals and giving a further understanding on the Finances of the Network and its projects.

We are always open to suggestions, ideas and to answer at your questions.

In case of new elections of new Auditors, the program is plausible to be rediscussed and republished after Spring Agora Enschede 2017.

OUR PROGRAM IN 15 POINTS

For the sake of clarity we divided the yearly plan in 15 really easy to understand, points. Every single point would be later included in a timeline, to make you understand when we will intervene and where.

1. A BIGGER TEAM FOR BETTER COMMUNICATIONS

Both the quality and the quantity of Financial Data we might gather this year (and probably every year) passes through the necessary step of communication before the phase of reporting. That’s why we aimed for a bigger team of Subcommissioners to deal locally with finances and trying to explain in a better way to report and to get in touch with Audit if needed.

There is no Reporting without Communication first.

 

2. A SPACE TO DEBATE ON FINANCES

Finances for years have been one if not the, most underrated topic in the Network, despite it regards practically the majority of the activities, projects for all the Antennae, no matter the purpose.

What we can offer are:

  • more subcommissioners to talk with and raise points where we can intervene;
  • opening a place where we can discuss (in the limits) about Finances and rules in a specified Facebook group;
  • enhancing the level of communication with audit@aegee.org;
  • until the election of new Audit Commissioners in Spring Agora Enschede 2017, we will proceed to have internal elections within thesSubcommissioner team to elect 3 speakers
    • 1 to deal with Commissions;
    • 1 to deal with Projects;
    • 1 to deal with Committees.

The president will supervise the activities of the speakers.

 

3. WORKING ON A REFORM OF THE FINANCIAL REPORT TEMPLATE

We are working to improve the Financial Report of AEGEE Europe, according to internal feedbacks and the ones we will gather from you through discussions with Audit Commission before the Financial Report Submission Period.

On our side, we predisposed a special team called Financial Report Reform Taskforce.

 

4. MOVING TO PODIO AND GOOGLE DRIVE

Once the Template will be reformed, the 2016/17 Financial Report will be based on the Podio Platform (www.podio.com), as a planned move decided together with Comité Directeur. We will create an App to deal with Financial Report in a very clear way. We are in talk with Mediation Commission and Comité Directeur to decide whether if it’s possible to store online the previous Financial Reports or not.

And yes, we moved to Google Drive from Dropbox, as agreed with Mediation Commission.

 

5. ONE MONTH AND A HALF FOR SENDING THE FINANCIAL REPORT

Yes, from January 15th till February 28th, 2017.

We will remind it to you for sure!

Whoever did not send the Financial Report during Last Years, will be contacted soon, according to the status these locals had in the past.

Later by the end of march and the first days of April, we will provide the Criteria points to AEGEE Europe’s Network Director.

 

6. WE NEED YOUR FEEDBACKS!

Soon there will a Survey that you locals you will need to fill, to discover how do you feel towards the Financial Reports, about Membership Fees, need of Education you might want from us and how much help do you want from our side.

 

7. EDUCATION TOOLS

We will renew the Toolkits about how to make a Financial Report, we will provide an Antenna’s Financial Management Toolkit in cooperation with the Financial Director of AEGEE Europe.

 

8. SKYPE CALL SESSIONS

Yes, a big introduction for this year. There will be Skype Call sessions about how to make a Financial Report, what to fill, what to fix. On demand. Via Skype.
We also want to have Internal Skype calls just dedicated to improve our education on AEGEE Financial Systems and rules.

 

9. CREATION OF THE FINANCIAL/TAX REGULATION DATABASE

After having agreed with Network Commission, Juridical Commission and Comité Directeur, we will create a database of all the regulations all the locals in their countries have on financial and tax side. A general database including regulations country by country. Once ready, we will discuss with Mediation Commission (MedCom) how to share this database to every local, according to the Privacy rules MedCom will decide.

 

10. AUDIT OF AEGEE EUROPE

One in late winter/early spring and probably one in September, 2017. We will put a question mark in the timeline to clearly state the uncertainty of when we will be able to Audit AEGEE Europe’s finances.

 

11. PROVIDING A WORKING FORMAT FOR THE AUDIT COMMISSION

We will present our proposal for a Working Format for Spring Agora Enschede 2017.

 

12. ACTIVITY REPORTS OF THE AUDIT COMMISSION

At Spring Agora Enschede and in Autumn Agora Catania.

 

13. THE INTERTEMPORAL REGISTER OF THE LOCALS OF AEGEE EUROPE

Instead of providing the review of 20 antennase as minimum requested by AEGEE Europe for the year 2017 (based on previous year’s Financial Report), we will provide the Intertemporal Register of the Locals for the Financial Years 2014, 2015 and 2016 to provide an risk assessment analysis of the Finances of the Locals of AEGEE Europe.

We want to present the results of this analysis during a Plenary Presentation at Autumn Agora Catania 2017.

 

14. KNOWLEDGE TRANSFER

We will set up Knowledge Transfers’ sessions after either Spring Agora Enschede and Autumn Agora Catania.

 

15. INTERNAL COMMUNICATIONS

We set up an Internal Facebook Group and a Whatsapp Chat, to get in touch easily among the members of the Commission. The Financial Director of AEGEE Europe and the Network Director of AEGEE Europe have been invited to the Internal Facebook Group for direct communication.

If you will see the same numbers repeated in different months, it will mean that the activity will be continued (or in progress) during that month.
