Why evaluation is important?

Although it’s the first day of autumn, there are some Summer Universities that still continue! The last one, organized by AEGEE-Leon, «On the Way of St. James vol.4: Looking to the south», AEGEE-Istanbul and AEGEE-Izmir «TURCOPERATION: SUltans on the Way» and the very last one by AEGEE-Tekirdag, «Survivor in Thrace» that will end on 8th of September. But there is something that better not to put off till tomorrow, or the last day of the deadline – evaluation of Summer University by participants.

This is how organizers ask participants to evaluate Summer University. 

Summer University Coordination Team would like to explain why it is so important for us, for organizers and for participants as well!

So, talking about us, SUCT, it’s quite easy – our main task is to check and help organizers and as physically it’s absolutely impossible to attend every SU, evaluation results are our main source of information. According to the points and what’s more important, to comments and notes, we can see which local performed good and which one needs to be reviewed and maybe even the help of Network Commissioner will be needed. Organizers and boards of low evaluated Summer Universities are asked about reasons and strongly suggested to attend the next Summer University Project School. This project exists for such a long time because of the great efforts of locals and contribution of participant and that’s why SUCT insists on quality of evaluation.

Apart from desire to become the best Summer University and get awesome PR for next year, for organizers it is also important to see what was good and what was bad. The differences in the attitude the type of location, for example,  might be really important and significant as someone feels that sleeping in the gym is perfect, someone is just shock as it’s the first SU that he/she attends.

Therefore, talking to participants, it is important to distinguish personal complains from negative comments done because or organizer’s carelessness or irresponsibility. You might not like the lodging as it was so much different from what you expected but wait before complaining, sleeping on the floor in the gym is typical for AEGEEans. But when it comes to real things like not providing participants with anything they promised, big differences in the program that was on the website and the real one, not providing vegetarians with appropriate food are examples to tell about to SUCT.

So let’s go through some questions before you answer them.

Although it is optional, would be nice to know what next SUCT members can improve to make the application process clearer.

 

–       Did you attend a meeting of your home local before applying?

–       How satisfied are you with the support you got from your home AEGEE local before going to the SU?

Not every local can organize meeting for all members to explain the application process and useful tips before they go to their SU, although this is very important thing. Going to Summer University means representing your local, therefore the more you know about the well-known rules of SU is better.

 

–       Please give feedback on the selection process. Was everything clear for you?

–       How satisfied are you with the communication with the organisers before going to the Summer University?

Communication plays very important role in Summer University project. The more accurate and detailed information you got – the better job organizers did. But remember that it doesn’t mean that they had to meet you in the airport or at the train station or host you for free if you arrive earlier – some locals simply don’t have enough human recourses.  

 

Logistics

–       How satisfied are you with the lodging?

Remember that the fee you paid is divided into lodging, transportation, food and many other things and in most of Europeans countries it is impossible to find gym for free and some locals even have to take extra money from their budget. On the other hand, if the conditions were not appropriate for living, this could be evaluated with low points.

 

–       How satisfied are you with the meals provided?

As everyone has different food preferences, some might adore eating pasta everyday but others will find it amazing – eating home-made pasta with different tastes in Italy, that’s what diving in the culture is!

Another story is when organizers forget that you wrote about some food allergy or special diet. This can be evaluated like not so good organization.

 

–       How much did the organisers respect the timing of the program?

We all know about these so called Italian/Greek/Spanish/Turkish minutes and understand that this might be not changed as it is part of the cultured passed by ancestors but when participants have to wait for organizers and are late because of them it is definitely not good.

 

–       How satisfied are you with the organisers?

Here, you evaluate the organizational skills, not personal ones. You might not like someone but if the person did a great job, it worth giving good points!

 

Fees

–       How much (in €) did the organisers collect as fee for the event? excluding optional fee)

–       How much (in €) did the organisers collect as optional fee?

–       Was there any alternative programme arranged for those who didn’t pay the optional fee? If yes, please explain it.

The questions are important for SUCT members as after all organizers submit the Financial Reports we need to check where the money went. Alternative program has to be provided by organizers even for 1 person and it has to be as well interesting, so if you were the one who couldn’t/didn’t want to pay the optional fee, tell us what was organized for you.

 

Content

Learning objectives set for your Summer University will be shown in the box and you can evaluate the implementation of them.

 

–       How satisfied are you with the cultural aspect of the Summer University you attended?

Compulsory sessions and Introductory session about AEGEE are the ones that must be provided by every Summer University organizers and they are created by Action Agenda Committee and Committee Director in order add to Summer University project learning objectives and make participants think not only about parties. Therefore SUCT is very strict about them and ask you to be honest and give zero points if they were absent.
