Dear participants of Agora Leiden,

maybe this is you first Agora? Maybe you have already been at one or more?

If it´s you first Agora it might be a challenge for you to get an overview of everything happening during these three days. But even if you already attended an Agora, you still might not be familiar with the detailed specifications on voting and elections. Therefore the Chair Team compiled a document you can download here explaining what will happen at the Agora (and what you should prepare in advance) as well as a summary about voting and elections provided by the Juridical Commission.

In case you are a relatively new AEGEE member, please attend the “AEGEE for newbies”-session on
the arrival day (thursday 14:00 – 14:45pm). If this is your first Agora, please also join the “Agora
Speed Course” (thursday 15:00 – 15:45pm).

Dear Network!

Agora Leiden is closing in, and the chair team is preparing everything to ensure we will have a smooth meeting.

From now on, everybody is invited to send presentations to be presented in the plenary to
agora-presentations@aegee.org

Please take a look at the appropriate sections of the following presentation guideline to ensure you know the rules and expectations for your presentation.


Presentation guidelines for the Agora
****************************

This guideline states the expectations, rules and timings for the different
types of presentations during the Agora.


***In general***

Be to the point, and use the questions stated in this document to prepare the content of your presentation. In general you will have 3 to 5 minutes to deliver your message. This means that it's unrealistic to try and finish a presentation with more than 15 slides (12 ~ 20 seconds per slide). Remember that what you present visually is only meant to support what you are talking about!

Due to common problems with displaying presentations on different software or even different versions of the same software, the Chair Team has decided to only allow the sending of presentations in PDF format (except for videos without a speaker).
If you send a PDF with enabled transitions, those will be removed.
At the end of this open call you can find a guide on how to create PDFs from your presentation software.
If you experience any problems, you can send the original presentation file to the Chair Team and it will be converted for you.

*What to expect during your presentation?*

You will have a laptop in front of you which you can use to change slides. You will be able to see the slide which is currently displaying.
As a reminder, you will also see the slide which comes next.
Furthermore, the chair team will be able to show you how much time you have left. Taking note of that will make sure you can finish yourpresentation on time. Since time is very short, if you run out of time, you will be cut of by the chair team.


***Guidelines for specific presentations***


*Activity reports Commissions/Working Groups/Liaison Agency/Liaison Officers*

With the new setup of the 'Activity Reports Session' the Activity Reports will be split in two simultaneous sessions, the exact schedule can be found in the Agenda on the Chair Corner (to be published on
www.aegee.org/statutory/ag1004 <http://www.aegee.org/statutory/ag1004>). Working Groups, Commissions and the Liaison Agency have 5 minutes to present and then another 5 minutes for discussion/questions. Liaison Officers have 3 minutes to present and then another 2 minutes for discussion/questions. Try to answer these three questions in your report:

- Who are you representing and what do you do?
- To which extend did you manage to execute / implement your Activity Plan?
- What where the challenges in the last term and what did you learn from them?

What is requested is an activity report! You will not be allowed to talk about your concrete activities for the next term.

And one more thing: while submitting your presentation in advance to agora-presentations@aegee.org you should include already a short summary of your activity
report (10-20 sentences).


*Candidatures*

- Candidates for Commissions and the position of Secretary of the Agora have 3 minutes to present themselves.
- Candidates for the Comité Directeur have 5 minutes to present with the exception of the candidates for President of AEGEE-Europe, who have 7 minutes.
- The presentation of people who are not present at the Agora may be done by a representative. This representative however is not allowed to give endorsements; just the presentation.
- The focus of a candidature is on the content, therefore music is not allowed. For the absent candidates it’s naturally possible to send in a video message in which you present your candidature in person.
- Presentations of candidates will be cut by the Chair exactly on the time limit in order to ensure fair elections. So it is advised to rehearse your presentation a couple of times before delivering it at the Agora.


*Workshop and Progress Meeting presentations*

You will have 2 minutes to introduce your WS or PM before it takes place and 2 minutes to present the results of your WS or PM afterwards. Obviously you will have to prepare you presentation of the WS or PM results after you WS or PM took place, so please look up in the agenda when this presentation should be ready. Generally WS or PM results presentations are delivered without the use of visual support, but in case you feel that visualisation of the results would improve the level of understanding and retention of the results by by your audience you are welcome to use a very short presentation (in PDF only, maximum of 3 slides, to be handed in before the plenary starts). What we would like to know:

- How many participants did your workshop have?
- What were the main points under discussion?
- What are the outcomes of the workshop?
- How will these outcomes be used?

The minutes of the workshop have to be handed in within two weeks after the Agora to the Secretary of the Agora.


*Prytanium presentations*

The proposer will have 3 minutes to introduce the proposal in plenary before it will be discussed in the prytanium. The prytanium Chair (not the proposer) will have 3 minutes to present the results of the prytanium to the plenary. Moreover, the most important presentation the proposer will have to deliver is the one in which you present your proposal during the prytanium itself. For information on how these presentations should be done please contact the Chair Team (chair@aegee.org <mailto:chair@aegee.org>) in order to receive the "Proposal Kit" that was drafted by the Chair Team and Juridical Commission for this purpose.


*CIA proposals presented in plenary*

You will have 5 minutes to present your proposal to the plenary. For information on how this presentation should be done, please contact the Chair Team (chair@aegee.org <mailto:chair@aegee.org>) in order to receive the "Proposal Kit" that was drafted by the Chair Team and Juridical Commission for this purpose.


*AEGEE-Europe project presentations*

You will have 3 minutes to present your project (except for the Flagship project which will have 5 minutes). Only project presentations that are approved by the Projects Director of AEGEE-Europe will be accepted.


*Future events presentations*

- A future event presentation can have a maximum duration of 2 minutes.
- Movies are strongly preferred here.
- Presentations your are holding yourself (with or without visual support) need to be discussed and approved by the Chair Team before the Agora takes place.
- We do not guarantee that we will play all movies, but strongly encourage you to use this opportunity!

As a general rule, we will prefer those events which are listed in the Action Agenda, are project events, or otherwise outstanding.
Events already presented in some other agenda point (such as project presentations) however will not have priority.
Summer University promotion videos are welcome, but will have the lowest priority, so please do not be sad if we will not be able to play them anymore.


***Submitting your presentation***

*Deadlines*

There will be two deadlines for presentations.

(1) The * first deadline* is set on Saturday the *3rd of April *. This deadline is meant for anybody who:

- has technical problems and needs help
- wants a review of the presentation (for first-time presenters we offer this opportunity. If you want this, please indicate so as it will only be done on request!)
- wants to be 100% sure that the presentation will look the same after conversion

(2) The * final deadline* is set on Wednesday the *14th of April*. However this deadline goes with a disclaimer:

- either you submit your presentation as a ready PDF file
- or you risk to have it converted by the Chair Team without guarantee that it will look the same after conversion

All presentations are to be submitted before the appropriate deadline (as explained above) to agora-presentations@aegee.org <mailto:agora-presentations@aegee.org>.

Except for Future Events presentations and presentations of candidates not present at the Agora, only presentations in PDF will be played.

***How to create PDFs from your presentations***


1.) OpenOffice.org, StarOffice, etc.
The OpenOffice.org-based office suites have PDF export built in.
Just click File -> Export as PDF

2.) Microsoft Office 2007 PowerPoint
Please find an official add-on at
http://www.microsoft.com/downloads/details.aspx?FamilyId=F1FC413C-6D89-4F15-991B-63B07BA5F2E5&displaylang=en

3.) Microsoft Office, prior versions
You will need some sort of PDF converter. You can find and install
plenty of free PDF converters acting as printer drivers.
In this case *ensure that you set your page margins to 0cm* or the
borders of your PDF may be cropped.
If you do not want to install an additional driver, you can find online
PDF converters for free.
In case you don't find any, http://hlrnet.com/tecappdf.htm should give
you more than enough to choose from...

4.) Apple Keynote
Supports PDF export natively. Choose Export -> PDF.

Hereby we will send you the open positions for which elections will be held at the next Agora in Leiden. We would like to invite you to send in your candidature for the following positions:

Comité Directeur of AEGEE-Europe
- President of AEGEE-Europe: Elections for the President of AEGEE-Europe for the period of one year.
- Secretary General: Elections for the Secretary General of AEGEE-Europe for the period of one year.
- Financial Director: Elections for the Financial Director of AEGEE-Europe for the period of one year
- Member of the Comité Directeur: Elections for four members of the Comité Directeur for the period of one year.

Commissions
- Audit Commission: Elections for the three members of the Audit Commission for the term until the next Agora.
- Juridical Commission: Elections for the two members of the Juridical Commission for the term until the next Agora.
- Members Commission: Elections for the four members of the Members Commission for the term until the next Agora.
- Network Commission: Elections for six members of the Network Commission for a one year term.

Secretary of the Agora
Elections for the Secretary of the Agora for a period of one ordinary Agora.

All candidates have to fill in the online candidature application form which can be found at:

You will receive an e-mail about the status of your application.

You can send in your candidature from today, the deadline to submit your candidature is set at 7 March 2010, 23.59 Bxl time. We would like to stress explicitly, that after this deadline, candidatures will be accepted only for the vacant positions.

Dearest Network,

This is the first OPEN CALL by the Juridical Commission concerning the upcomming Agora in Leiden. Herewith we would like to invite you to submit your proposals about changes to the CIA.

You can start sending your proposals from today, 19th January 2010, until the 7th of March 2010, 23:59 BXL time. So if you desire to change a part of the COURPUS IURIDICUM AEGEENSE you have got more than six weeks to hand in your proposal.

We would like to ask you to read the general guidelines presented in the attached document very carefully in order to submit a qualified and well prepared proposal!

In addition, Chair Team and Juridical Commission compiled a Proposal Kit, which will help you with further advices and necessary information how to prepare your proposal as well as how to present it to the Agora. Please find it in the attached ZIP file.

Please note that the Juridical Commission will be very strict with the deadlines and any proposal sent after the deadline will NOT be taken into consideration.

So once more, the deadline for submitting proposals is the 7th of March 2010, 23:59 BXL time!
