Open call hosting local – Autumn Agora 2020

Dear Network,

We would like to announce that AEGEE-Europe is looking for a local ready and willing to organise Autumn Agora 2020.

The Agora is one of AEGEE’s statutory events, gathering representatives of the whole Network in order to decide on the future of the organisation, to make decisions regarding the structure and the functioning of our Network.

The Agora should gather members who are willing to take part in shaping of the organisation and in helping the Network to adapt to the always changing environment.

As the content of the Agora is provided by AEGEE-Europe, the hosting local is responsible for providing logistics, such as rooms, lodging and the social program.

The organising antenna is explicitly responsible for the following points:

  1. To present an update report during the preceding Agora;
  2. To provide an adequate lodging for all participants (minimum 600);
  3. To provide three meals a day (at least one warm meal) for all the participants;
  4. To organise the necessary logistics (lecture halls, rooms for workshops and technical equipment);
  5. To provide free, stable and reliable internet connection during the whole event for the CD, Chair Team, delegates and optionally visitors;
  6. To take care of the social program;
  7. To take care of the necessary fundraising (in money and in kind);
  8. To take care of informing the participants about logistics and registering them;
  9. To keep in contact, at least once every two weeks, with the Chair Team and the Comité Directeur;
  10. To organise logistics of the AEGEE Fair and Study & Career Fair;
  11. To develop all the promotional materials, including the logo, in accordance with Visual Identity;
  12. To be able to ensure minimum 15 devices for the online voting.

You can submit your application through this form.  Moreover, you must attach the provisional budget template to your application.

If you wish to have a look at the contract template, later on signed between AEGEE-Europe and Agora organisers, you can find it  here (to access these documents that are uploaded to intranet, you must log in with your intranet account first).
